The context

A house cleaning company with five crews and eighteen regular clients. Requests come in through Instagram and WhatsApp and get quoted from memory, the week is laid out in a notebook, and each house's price was set the day it came in and never touched again. The two things that sink it aren't management problems: the request answered the next day, and the crew that showed up at three at a house expecting them at two.

What the system does

  • The quote comes from a formula —square meters, bathrooms, pets and extras— and the arithmetic is shown open: the client argues over one line, not over the whole number
  • Scheduling answers one of three things and not a "can't be done": it fits, it overlaps with another house, or it doesn't make it because of the travel minutes between zones
  • The day's route shows what time each crew really arrives, travel included: when one house runs long, the ones after it show up shifted before it happens
  • How to get into each house —key at the office, doorman, gate code— in the table and not buried in a record: it's what makes you lose twenty minutes on the sidewalk
  • The report with photos and the signature of whoever was there, because in private homes the complaint is always the same and without a report you can't answer it
  • Margin visit by visit: estimated against how long it actually took. Three houses that run forty minutes long every week eat the margin of the other fifteen and don't show up in any monthly total
  • Two roles with different screens: coordination quotes and bills; the crew lead sees the route and files the report, without the price or the margin
