The context

A distributor with three hundred stores takes orders over WhatsApp: voice notes and photos of a handwritten sheet that someone inside transcribes line by line. The error isn't in the transcription, it's in what the store doesn't know when it orders: what price it has, whether there's stock, whether it hits the brand's minimum, whether it has overdue invoices. The sales rep answers that by phone the next day, and the order slips a week.

What the system does

  • Each store sees the price it negotiated, not the list price with a discount on top: that's the reason an online store doesn't work for selling wholesale
  • You buy by the case, and the unit price sits below it in gray so a box of six can be compared against a pack of twenty-four
  • Brand minimums are stated while the order is being built, next to the product, and not at checkout
  • The overdue invoice and the available credit show up on entry: an order that isn't going to ship is known before it's built, not after
  • Saved lists with quantities —Tuesday's restock is a whole order, not a favorites list— and repeat any previous order
  • "Partially filled" is a status with its list of what didn't come and its credit note, not a phone call to complain
  • The stocker builds the order and doesn't confirm it: that's the permission that makes the portal actually get used
